Technical Exhibitors List

1.1 Event Description : The Annual Session of the 83rd Indian Roads Congress is scheduled to be held at Mahatma Mandir Convention & Exhibition Centre, Gandhinagar, Gujarat from December 2 to December 5, 2023. A technical exhibition is scheduled to be held alongside the annual convention.
Compulsory IRC Corporate Membership is required for a company to have a stall at the 83rd IRC Annual Session at Mahatma Mandir Convention & Exhibition Centre, Gandhinagar, Gujarat. If you have not yet renewed your membership, we kindly request you to do so at the earliest.

1.2 Date and Time : Inauguration of Technical Exhibition: December 1,2023 at 17.00 – 18.00
Closing of Technical Exhibition: December 5,2023.

1.3 Venue : Mahatma Mandir Convention & Exhibition Centre, Gandhinagar, Gujarat.

2.1 Booth Structure : The organizers will provide a basic shell scheme booth structure, including 1 table, 2 chairs, 5-amp 2 electric points, and 3 spotlights. For additional materials or services, the stall holder must arrange on their own.

2.2 Admission : The exhibition will be open to all invited guests and members of the Indian Roads Congress.

2.3 Alterations by Organizers : The organizers reserve the right to rearrange the floor plan or any part of it, the venue, or the date of the exhibition at any point in time without prior notice.

2.4 Special Signage and Lighting : The use of special signage and lighting is permitted to all exhibitors at their own cost with prior permission from the organizers.

2.5 Additional Amenities : Additional amenities, such as telephone lines, internet facilities, broadband data services, special electric connections, special lighting, additional furnishings, audio-visual equipment, and hired manpower, can be made available to exhibitors at an additional cost upon advance request and payment to the conference managers.

3.1 Artwork Delivery : Once the stall booking is confirmed, we request you to share the artwork/logo of your company name for the stall fascia.

3.2 Display Requirements : The stall will be handed over to you on November 30, 2023. You are requested to set up all the display items latest by December 1, 2023. No temporary workers shall be allowed at the exhibition site after 1 PM on December 1, 2023, under any circumstances

3.3 Insurance : All exhibitors must ensure that their exhibits and equipment are insured against theft, fire, and damage due to natural calamities. The organizer will not bear any insurance charges

3.4 Sound Devices : Public address and amplifying devices that project sound beyond the exhibition stall are not permitted.

3.5 Food and Beverages : Exhibitors cannot serve any food, snack, or beverages inside the exhibition area.

3.6 Cleanliness and Storage : Exhibitors need to ensure that the occupied exhibition area is neat and clean and that any storage materials are not stored inside the exhibition area.

4.1 Use of Images : We request the participating company to share the brand logo, literature, and any other relevant information that can be used for the promotion and marketing of the exhibition.

5.1 Liability : All display items must conform to applicable safety, health, biohazard and fire codes and standard regulations.

6.1 Payment Terms : 50% of the payment is to be made when you submit the registration form for the stall booking. The remaining balance amount needs to be paid upon confirmation of stall allotment by the LOC within 3 days of allocation.

7.1 Cancellation due to Non-Payment : The organizers reserve the right to cancel the booking in case of non-payment of the balance amount within the stipulated time.

7.2 Force Majeure : In case of a natural calamity, pandemic, or any such event, if the event is cancelled by the organizers, the clients would be intimated, and the reservation would be carried forward to a future date or the fees would be refunded.

7.3 Cancellation by Exhibitor : Once the booking space is confirmed and payment is made, it will not be cancelled, and payments will not be refunded.
